The GTD Capture Tools: Memory Palace, Boogie Board

The very first step of “Getting Things Done” (GTD by David Allen) is to capture what has our attention and get the stuff all out of our mind (externalisation of my RAM).

To make sure we can keep a habit of keeping nothing in our mind, we need to have a trusted system / collection tools in place.

I have minimised the number of my collection zone into a few only, and I make sure I empty them regularly. They are my boogie board (電子板) and my mind palace / memory palace. They have become part of my lifestyle in order to capture any valuable thoughts at anytime! I become less overwhelmed and anxious when I can always offload my ideas to a safe place.

I like my boogie board because it is erasable with a click. It is light to carry. And I could always take a photo if I need to record them.

I have given up using any kind of post-it note / notebooks. I make sure that I only have one single “taking note” tool in my life so I won’t be wasting time searching for my notes.

I also use memory / mind palace (see post on “Moonwalking with Einstein”) when I have no way to jot down my thoughts physically E.g. during shower!! It works quite well. After the shower, I will immediately write them down / simply do it (if less than 2 minutes).

After boggie board and mind palace, I will then migrate them to Evernote or Google Keep as actionable steps (Step 2 of GTD – Clarify) (e.g. to call Herman to schedule meeting with wedding deco company) with appropriate tagging or labels. Ridiculous enough, my company has recently blocked Evernote, so I have switched to Google Keep. I like Evernote more because it shows the exact number of actions in each category. I have a better grasp of the volume I am dealing with in each category of life.

Female-Friendly Workplace Policy? Be Human-Friendly!

Just attended a women’s network session tonight. Some takeaways:

  1. Even though there are workplace policies in place to support women (e.g. flexible working, gradual return to work after maternity leave), they may not dare to apply to these benefits. Why? -> perceived as weak or incapable; burden to the team; may affect appraisal, future promotions or even job security.
  2. Also need to bear in mind that these flexible working policies are not “mum specific”. Both men and women would want flexible lifestyle and work-life balance. We are equal!
  3. Gender neutral is not being gender inclusive.
  4. Setting a quota for women leadership may seem to be unfair to men. But for specific industries like pilot/engineering/agencies, some quota may be needed to force structural changes.
  5. We may lose chances coz we are shy or submissive. Sometimes we just need to “pretend” to have guts! Be an actress!! Nothing to lose (besides the embarrassment for rejection and our ego hurt a bit…)
  6. Don’t presume what a pregnant/ married woman want. Learn how to kill our unconscious bias!!! Everyone is an individual. Hear her stories before giving solutions.
  7. You would often hear from airplane PA announcement: “with us tonight is our gorgeous/lovely head of crew Nancy”. If you think about it, it is really creepy.

Quick takeaways:

  • Memories are not innate gift – it could be learned. Basic one is paying attention, being deeply engaged.
  • World Champions use visual memory (spatial memory and navigation)! – distribute images along familiar spatial journey
  • “Mind Palace” – intimately familiar space such as childhood home; Dropping funny & bizzare image room to room! The crazier the more unforgettable.
  • Many memory techniques are ancient back in 2,500 years ago in Ancient Greece. It was essential to spread ideas through memories when words/scrolls/numbers did not exist; when there were no tools to externalise our memories.
  • Use multisensorial / electorate / colourful / vivid image. Human are hunter-gatherers who are genetically trained to identify food and trace route. Good at visual memory!
  • “Chunking”: cut up meaningless string of information into meaningful data
  • Top chess player / chicken sexer: mere pattern recognition recalling from long-term memory based on experience; no cognitive advantage
  • More chronological landmark (eventful) to make time seems longer; novelty unfolds time!
  • We should breakthrough our “OK plateau” by studying & eliminating our failure over and over again. Get immediate feedback from experts.
  • Distraction is the memory competitor’s greatest enemy. They wear earmuff and safety googles with pinholes.
